Small Business Cash Flow: A Weekly Planning System

A straightforward way to spot cash gaps before they become urgent.

FinEdge Editorial · Educational guide · Updated October 2026 · Approx. 6 min read

Quick takeaway: Compare total costs, read the official terms, and make decisions based on your own circumstances—not a headline number.

Profit and cash are different

A business can record sales without collecting payment immediately. It can also have large cash outflows for inventory or equipment before related revenue arrives. Cash planning focuses on money actually entering and leaving the account.

Use a 13-week view

Create columns for each of the next thirteen weeks. Start with available cash, add expected customer receipts, subtract payroll, rent, suppliers, taxes, debt payments, and other commitments.

Be conservative about collections

Separate invoices already paid from those merely promised. For uncertain payments, use a realistic expected date or a downside scenario. Do not build essential spending on optimistic assumptions.

Watch three signals

Monitor overdue receivables, upcoming fixed obligations, and inventory that ties up cash. These often reveal pressure earlier than a monthly profit report.

Plan actions in advance

If a future week shows a gap, consider collecting overdue invoices, adjusting purchase timing, or discussing terms with suppliers before the due date. Avoid relying on last-minute high-cost borrowing.

Review every week

Update the forecast using actual transactions and compare planned versus real cash movement. Consult a qualified accountant for tax and jurisdiction-specific requirements.
